The signed form and the booking become one thing

If your events involve physical activity, minors, photography or anything your insurer has opinions about, you probably need a signature. Collect it at booking — not on paper at the door, or through a separate service that never knew which booking it belonged to.

Sign in the booking form

Add a signature field, paste in your waiver or consent text, and customers sign as they book — drawing with a finger or mouse, or typing their name.

Evidence, not just a squiggle

Every signature is stored with a sealed record of who signed, what exactly they agreed to, and when — tamper-evident after the fact.

Your data, your site

Signed forms are stored privately with the booking in your own database — never a third-party form service, unless you choose to route signing through one.

When a signature is a condition of taking part

The forms organisers reach for most — captured at booking, per person where it matters.

Liability waivers

For sports, fitness classes, tours and outdoor activities where risk needs acknowledging.

Medical declarations

Fitness-to-participate statements and health disclaimers, signed before the day.

Photo & media consent

Recorded per person rather than assumed — so you know exactly who agreed to appear.

Parental consent

For under-18s, collected from the parent or guardian as part of the booking.

Terms & conditions

Prove they were accepted, and in exactly which version — not just a ticked box you can't evidence.

A signature is only as good as the evidence behind it

An image of a signature proves very little on its own. What courts and regulators look for is the record around it — and Events Manager captures all six parts of it with every signature.

Intent to sign

An affirmative signing action — drawing, or typing a name behind an explicit “sign” button. Never a pre-ticked box.

Consent to sign electronically

An explicit acknowledgement, shown with every signature field, that the signer agrees to sign electronically.

Attribution

The signature is tied to a person — the booking’s name and email, or the logged-in WordPress account.

The exact document

The wording and version the signer actually saw is hashed and stored, so nobody can later dispute which text was agreed to.

Integrity

The whole record is cryptographically sealed. Alter anything afterwards and the certificate says so.

A copy for the signer

The signed document and its timestamp are emailed to the signer automatically, as e-signature law expects.

Signature certificate

Open the booking, see the whole story

Every booking shows a full signature certificate in your dashboard, with a live integrity check. If a stored value is ever altered, the certificate fails — so you always know the record is exactly as it was signed.

  • Readable, verifiable certificate on the booking
  • Live tamper-detection built in
  • Everything needed to stand behind the signature

No signature, no confirmation

When a signed waiver is a condition of attending, turn on the signature hold. The booking is accepted but held pending until every required signature is in — and moves forward the moment it is.

Awaiting signature

Booking held pending

Clearly marked in your dashboard, so you can see at a glance who still needs to sign.

Secure link

Signer gets a private link

Anyone who didn’t sign at checkout gets a secure personal link to a signing page — no account or login needed.

Signed

Booking moves forward

Once every required signature is in place, the hold releases automatically and the booking is confirmed.

Coming soon

Prefer DocuSign or Dropbox Sign? On the way

Built-in signing is live today and is all most organisers need. Coming next: if your insurer or legal team wants a third party’s certificate of completion, or your organisation already standardises on a provider, any signature field will be able to hand signing off instead.

How it will work

  • The document is generated from your consent text automatically
  • Or use a template from your provider account
  • The provider emails the document to the signer
  • The booking stays pending until completion is confirmed
  • Status is checked with the provider directly, not just taken on trust

What you’ll get back

  • The signed PDF, stored with the booking
  • The provider’s certificate of completion
  • The same retention and privacy handling as native signing
  • One switch per field — native or provider
  • Switching never changes what is signed

Planned providers

  • DocuSign
  • Dropbox Sign (formerly HelloSign)
  • More may follow based on demand
  • Bring your own provider account
  • No provider needed for built-in signing

Simple, advanced, qualified: which do you need?

Electronic signatures aren’t all one thing. EU and UK law (eIDAS) defines three levels; US law (the ESIGN Act and UETA) doesn’t use the same labels, but asks the same practical questions: can you show who signed, what they signed, and that the record hasn’t changed?

Level What it means In Events Manager
SES A Simple Electronic Signature: any electronic mark made with intent to sign — a drawn signature, a typed name, even a ticked box. Valid and admissible across the EU, UK and US. What separates a strong SES from a worthless one is the evidence attached to it. The built-in signature pad and the emailed signing-page link both sign at SES level, with the full six-part evidence record. This is the right level for virtually all event waivers, consent forms and T&Cs.
AES An Advanced Electronic Signature must be uniquely linked to the signer, able to identify them, created using means under their sole control, and tamper-evident. In practice this needs certificate-based signing infrastructure. Reached by routing a field through DocuSign or Dropbox Sign (coming soon) with the appropriate signing and identity options in your provider account. A signature pad on a website, however good its audit trail, doesn’t meet the sole-control test — and we won’t pretend otherwise.
QES A Qualified Electronic Signature: the highest eIDAS level, an AES on a qualified certificate issued after formal identity verification, legally equivalent to a handwritten signature across the EU. Reserved for things like notarised transactions, and well beyond what event consent requires. Events Manager does not provide QES.

Please note. This is general information about electronic signature law, not legal advice. Requirements vary by country, industry and activity, and only a qualified legal professional can tell you what your events need. If a signature is load-bearing for your liability position, ask your lawyer or insurer which signing level and wording they require. Events Manager provides tools for collecting and evidencing electronic signatures; it does not guarantee that any particular signature will be enforceable in any particular dispute.

Signed forms are personal data, so Events Manager is careful about keeping only what you need, for as long as you need it.
